Bookings and Payments:
A 25% deposit is required to make a reservation via our online automated secure booking system deposits are nonrefundable. The balance of your holiday payment is payable no less than 8 weeks before your holiday is due to commence, we will send an automatic email reminder when your payment is due. If you do not pay the holiday in full within seven days, we reserve the right to re-let it. Please advise us of any late payments so we can amend our system.
Checking in times
For Yurts, Lodges & Cabins from 4pm – Reception will close at 8pmFor Camping from 1pm – Reception will close at 8pm
Checking out time before 10.00am prompt for Yurts, Lodges & Cabins in order to maintain our high levels of cleaning ready for the next guests to check-in.

NOTE!
A refundable damage deposit of £100 per accommodation unit is required prior to checking in, payable via bank transfer (information below)
For group bookings, we will require a £100 (per Yurt, Lodge & Cabin) refundable damage deposit. This can be held for up to seven days after checking out. (information below)
All damage deposits will be refunded on your day of checking out subject to satisfaction of inspection & cleaning completed.
Please note that if booking through TripAdvisor your damage deposit is already paid for when booked and will be refunded within seven days of departure should everything be satisfactory on check-out.

Cancellations and Refunds:
We realise that sometimes plans change and as such we will always endeavor to re-let a holiday if you must cancel it. If we can do so we will refund the cost of the holiday less a 10% admin charge/ £50 max (whichever is the lower). However, we recommend you take holiday cancellation insurance to cover any loss should we not be able to re-let. If you cancel within 8 weeks of the holiday and we are unable to re-let, your deposit is non-refundable.
In the unlikely event of the yurts, lodge and/or cabin not being available due to fire, flood or other unforeseen circumstances, Oak Tree Lane cannot accept liability or responsibility for consequential loss, but the full cost of the holiday will be refunded. Should guests’ behaviour be completely unacceptable to ourselves/other guests, we reserve the right to ask the offending guest to leave immediately and without refund.
Please note we are an outdoor countryside environment and no refunds will be given due to acts of nature such as field mice or cluster flies.
Accessibility
Oak Tree Lane is committed to making happy holidays to remember! It is also committed in ensuring that all guests feel comfortable and safe whilst staying here.
Due to its undulating grounds, there may be certain areas which could present challenging to people with learning and mobility needs.
Should potential guests feel reserved in booking a holiday with us because of this issue, this can be discussed with the aim of resolving matters.
Notably, the Mongolian yurt, wooden lodges and camping pitches are situated upon undulating grounds as well as having undulated walking areas to the private field kitchens as provided for glampers. Glampers and campers also need to walk to their private shower and wc rooms, this again including walking on undulating grounds.
Should the undulating grounds be an issue for potential guests, our wooden cabins may be an appropriate choice. The wooden cabins are accessible via a stone path leading to their entrance. No stairs are within the wooden cabins. We must state that floor space is limited within the wooden cabins and therefore wheelchair use would be restricted. A certain amount of mobility would be needed.
Should guests have specific needs within their mobility and need an aid to access the shower room within the wooden cabins, this can be discussed pre-booking with a resolve.
Oak Tree Lane has no access to wi-fi, uses solar lighting whenever possible and only has one electric socket point for guests’ usage in the wooden cabins. It has been mindfully developed to create a peaceful and tranquil environment, serving as a digital detox. Guests spending time here welcome this, especially as this enables self-refreshment.
Potential future plans are to renovate our old barn in becoming an accommodation unit with particular attention given to accessibility. This would encourage an even greater choice of holiday experiences within Oak Tree Lane.
Due to Oak Tree Lane’s commitment in ensuring that all its guests have a wonderful experience, by discussing individual need(s) it can address the necessary measures to be taken to enable this.
Accommodation Facilities – Cleaning:
We ask you to please keep your accommodation and kitchen area clean and tidy and dispose of any food waste in the bins provided to help keep vermin and flies at bay. The emptying of all bins is addressed daily as well as cleaning the sanitary area (i.e., shower, basin, wc).
Please do not wear outdoor shoes inside your accommodation and please leave your accommodation as you found it at the end of your holiday; there is no need to clean out the wood burner (they work better with a layer of old ash).
Breakages/ Cleaning & Damage:
This is always a tricky one – accidental damage happens and so far, we have never charged for breakages of small items such as glasses and crockery. However, we do reserve the right to do so and would ask that you let us know if an item has been broken. Waterproof mattresses protectors are available – please let us know if you need them when booking (it is better to be safe than sorry and an accident could cause irreparable damage to any furniture). No smoking is permitted within any of the accommodation and a charge of £40 will be deducted from deposits to cover the cost of extra cleaning and deodorizing the accommodation.
Fires:
Under no circumstances should fires be lit anywhere except for the campfire site in the yurt field. Please make sure all members of your party understand this rule. Please take extra care around the wood burning stove, BBQs and under no circumstances allow children to tend these. We do not allow candles inside any of the accommodation.
General Safety/Responsibility for Children:
This is not a manicured campsite with paved paths. In certain places, the terrain is uneven and steep and could be slippery. Please make sure all members of your party are aware of this and wear suitable footwear. Wellies, crocs or boots are easiest as they can be easily taken off before entering the accommodation.
The safety of children is the responsibility of the supervising adult with them. Special care should be taken around the campfire. Each accommodation unit has a smoke alarm, a carbon monoxide detector and a fire extinguisher – please take the time to locate these when you arrive. There is a hose pipe situated under the manhole cover by the tap in the yurt field for emergency use only.
Cars and Day Visitors:
We have limited car parking space thus each accommodation has a maximum of two guaranteed car parking spaces. Should you have additional cars, please contact us.
Day visitors are permitted on site at our discretion at a small charge may be applicable.
Oak Tree Lane (Our home):
Guests are very welcome to wander around the majority of our farm except for the areas of our own private garden, barns and outbuildings. Please take note of any signs as these are present to raise awareness. Apart from this, guests are welcome to walk through our fields and help feed the livestock. All gates are clearly marked if they need to be closed. There are sheep, cows, pigs and hens in our fields. While they are friendly and used to people, we do not recommend getting too close. For more information on our farm please just ask.
Noise:
We do not allow any loud music or shouting. Noise travels and we want to promote the peace of the valley and keep all our guests happy.
As well as not allowing loud music we also do not allow loud partying. Acoustic guitars and singing campfire songs around the fire is fine. Once inside the yurt, the thick felt lining will absorb most sounds, but there is a noise curfew at 10.30pm every night.
Dogs:
No dogs are permitted (except service dogs).
Group Bookings – Damage/Noise Deposit:
From our experience during times of letting to large groups, there has been an increase in damage and excess cleaning has been required. We therefore charge a deposit of £100 per accommodation unit – this will be returned within 7 days at the end of your holiday provided there is no damage or excess cleaning required. We only accept large family groups and do not accept any Hen or Stag parties or same sex groups; any booked without informing us when booking could be turned away without a refund on arrival.
If you are a large group, we ask you to sign a form confirming you have read and understood our ethos on noise.
Adult Only Family Groups:
Of course we welcome Adult Only groups however please be mindful of our environment being family friendly and accommodating to guests whom want to enjoy a quiet and relaxing holiday.
